1–6 Passengers

Delegate Transportation Between Hotels & Conference Venues

The main requirement for many conferences is moving delegates from their hotels to the venue at the correct time. A typical schedule might be: Hotel → Conference Venue in the morning, followed by: Conference Venue → Hotel, after the final session. For a straightforward conference, one morning and one evening transfer is normally booked.

For larger programmes, we can also arrange multiple departure waves. For example: 07:15 – Organisers, 07:45 – Speakers, and 08:15 – Delegates.

Multiple Hotels to One Conference Venue

International conferences accommodate delegates across several hotels. Instead of treating the entire group as one movement, each hotel should be evaluated separately. For example:

This approach is more practical than sending one large coach around several hotels and risking delays for everyone. Nearby hotels can share a route, but only when the extra pickup does not compromise the required arrival time.

For this reason, airport transfers should be planned separately from daily conference shuttle services, with the vehicle chosen specifically for the arriving group and their luggage requirements.
